Why do I Recommend using the Services of a Day of Coordinator (doc) on your Wedding Day?
A wedding day can go pretty much one of two ways …
- Either it’s a smattering of strange vendors ( caterer, DJ, videographer, photographer, florists, officiant, etc.) who’ve never worked with one another, trying to find a way to work together on YOUR schedule.
- Or, each of your vendors will know exactly where to be at exactly the right time in advance, therefore lowering everyone’s stress levels so that they can perform optimally. Especially important for your photographer.
You might not think you have any influence on your vendors’ stress levels, but trust me, you can do one thing to help everyone do their best on your wedding day.
Hire a Day of Wedding Coordinator
If the savings in time for your wedding planning aren’t enough of an incentive to hire a coordinator, consider the following scenario.
Your make-up artist wasn’t informed about a last minute change to the flow of the wedding day, and so they think that they have to arrive an hour later than you now need them. It slipped your mind to inform everyone involved about this minor adjustment, but it wouldn’t slip by a wedding day coordinator (doc).
Consider something as innocuous as giving directions to the make up artist – which YOU shouldn’t be worried about the morning of your wedding. Hand all of those duties over to your day of coordinator. Better yet, don’t hand them- they will take those duties on willfully, without need for delegating.
Consider this scenario as well, and I speak from lived experience. Your wedding day happens to be the day of an unexpected snowstorm. Your vendors manage to make it to the ceremony on time, as I did for an October 29th wedding in 2011. Everything goes surprisingly smooth until departure of the chapel to the reception venue. The photographer’s car battery has drained – and everyone from the wedding party has already left. Shucks!
WHAT Can a Wedding Coordinator do?
After an unsuccessful attempt to get a jump start from local officers, calling the wedding coordinator was was the next thing on my mind – right after calling for roadside assistance. Let me remind you, 8 inches of snow have fallen, and roadside assistance promises to be there within the hour. The only problem is that I’m expected to arrive at the reception venue in 25 minutes!
A wedding day coordinator will reach out to all of his/her available resources to make sure your vendors make it to your reception without skipping a beat. On that day, Danielle the wedding coordinator in charge of the flow of events offered up a solution to get us to the wedding. She reached out to her boyfriend ( a heck of a guy) who went out of his way to pick up myself, my videographer, and our equipment from the chapel, to get us to the reception just in-time for the start of the party. That’s what an excellent wedding day coordinator can do during a potential crisis. Thank God!
The doc is instrumental not only in handling matters behind-the-scenes on your wedding day, but they also go to lengths to communicate with all of your vendors before your wedding in order to facilitate the execution of the plan for your wedding day.

- 2. Couples will save money — By hiring someone with established relationships with other wedding vendors, the doc can often negotiate from a better position than a couple can. If you aren’t aware of the going rates for wedding venue rentals, DJ’s, catering, and transportation, it can take forever to make a decision, especially when price is an object. Let the doc handle the finances within your budget constraints.
- 3. Coordinators can help protect couples from mistakes and fraud — For the reasons I’ve outlined above, coordinators can help minimize errors and protect a couple from fraud by hiring established professionals.
- 4. Couples can focus on more important matters — This goes without much need for clarification. You’re there to party!
- 5. The job will get done right — If you take on a project outside of your expertise, there’s the chance you will leave out important steps. Hire an expert whose experience is tested and can deliver exceptional results.
As a photographer, I love working a wedding where there is a coordinator. It alleviates some of the stress of the wedding day logistics and frees me up to think more creatively about your images. A doc will often have the very same information that I will acquire from you by questionnaire, but it helps save everyone time if that info is only acquired just once and is updated by one person until the day of your wedding.
